Assignment Details

Our client, a leading global specialist in energy management and automation is looking to engage with a Consultant Executive Assistant. 

Scope of Work - 

  • Coordinate and schedule meetings with internal and external stakeholders, managing logistics and ensuring all participants are informed.
  • Co-ordination with vendors and procurement teams for agreements / contracts and onboarding of resources to the team.
  • Coordinate travel arrangements, itineraries, and accommodation for executive team members and for top management when they are visiting Bangalore.
  • Efficiently manage and maintain executive calendars, including scheduling meetings, appointments, and conferences.
  • Collaborating with HR and Admin to organize employee engagement & welfare activities all year long.
  • Planning and execution of various team and corporate events, whenever required.
  • Raising purchase orders and following up for timely approvals.
  • Prepare meeting agendas, materials, and presentations, ensuring the executive is well-prepared for meetings.
  • Anticipate and prioritize schedule conflicts and proactively resolve them to optimize
  • Attend meetings, take accurate minutes, and follow up on action items, ensuring timely completion.
  • Manage confidential and sensitive information with the highest level of discretion and confidentiality.
  • Content creation (Write-ups, Flyers, Invites, Presentations etc.).
  • Maintain organization charts and internal mailing lists.
  • Perform other administrative tasks as needed.

 Location (Onsite/ Remote) - Onsite Avinaya Campus
