Assignment Details

Our client, a Leading Global Specialist in Energy Management and Automation, is seeking a dynamic and detail-oriented Executive Assistant to provide high-level administrative support to our leadership team at the Bangalore center. The ideal candidate will possess exceptional organizational, communication, and interpersonal skills, enabling them to efficiently manage complex schedules, handle confidential information, and contribute to team engagement initiatives.

Duties and Responsibilities
Coordinate and schedule meetings with internal and external stakeholders, managing logistics and ensuring all participants are informed.
Co-ordination with vendors and procurement teams for agreements / contracts and onboarding of resources to the team.
Coordinate travel arrangements, itineraries, and accommodation for executive team members and for top management when they are visiting Bangalore.
Efficiently manage and maintain executive calendars, including scheduling meetings, appointments, and conferences.
Collaborating with HR and Admin to organize employee engagement & welfare activities all year long.
Planning and execution of various team and corporate events, whenever required.
Raising purchase orders and following up for timely approvals.
Prepare meeting agendas, materials, and presentations, ensuring the executive is well-prepared for meetings.
Anticipate and prioritize schedule conflicts and proactively resolve them to optimize
Attend meetings, take accurate minutes, and follow up on action items, ensuring timely completion.
Manage confidential and sensitive information with the highest level of discretion and confidentiality.
Content creation (Write-ups, Flyers, Invites, Presentations etc.).
Maintain organization charts and internal mailing lists.
Perform other administrative tasks as needed.

Skills Required

Bachelor’s degree or equivalent experience.
Minimum of 3 years of experience as an Executive Assistant or in a similar role, supporting high-level executives.
Excellent organizational and time management skills.
Strong written and verbal communication skills.
Ability to work independently and as part of a team.
Proficiency in Microsoft Office Suite and familiarity with virtual meeting platforms / collaborative tools.
