Administrative support to the Managers and team leads in Department.
Organize and Maintain calendar.
Travel Management, Tickets, Visa and accommodation.
Meeting and greeting visitors at all levels of seniority.
Point of contact between the executives and internal/external clients.
Take dictation and minutes and accurately enter data.
Arrange meetings, appointments, plan events and provide reminders.
Organizing end-to-end Client visits.
Develop and carry out an efficient documentation and filing system.
Close coordination and regular follow ups with different departments at client location like Management, Administration, IT and Transportation as required.
Handling confidential information and documents with care.
Vendor Management : Manage vendor relationships, including creating purchase orders and negotiating terms.
Skills required:
1. Strong organization, scheduling, and office management skills to manage the VP's calendar, meetings, and travel arrangements.
2. Ability to prioritize tasks, meet deadlines, and handle multiple responsibilities efficiently.
3. Familiarity with the specific industry or sector the VP operates in can be an asset, helping the secretary anticipate needs and contribute more effectively.
